Admissions and Travel Coordinator

Reports To:      Manager of Admissions

Purpose:          Reporting directly to the Manager of Admissions, the Admissions and Travel Coordinator is responsible for the management of information and program event coordination.  The Admissions and Travel Coordinator will represent 4-H in a positive light to the general public and to all stakeholders.

Responsibilities:

Information Management

  • Supports the Manager of Admissions with the overall application/registration process
  • Ensures all applicant information is entered and accurate across various software platforms
  • Collection and analysis of applicant data for grants, scholarships and program evaluation
  • Provides supports with data collection for analysis, interpretation and reporting

Stakeholder Communication and Service

  • Responds to general inquiries from applicants and provides technical support as needed
  • Ensures that the 4-H Canada on-line registration and application processes are up-to-date, in both English and French, profiling all National opportunities
  • Assists with communication to provinces  regarding National programs and opportunities
  • Communicates key dates and internal status updates with the National office team
  • Provides support to Program Director as needed

Program Coordination and Event Planning

  • Supports the Program Manager with National Program support specifically
    • Manages registrations for National programs
    • Tracks applications for National opportunities and ensures required reporting is received
    • Manages travel bookings for National and International programs
    • Assists with all aspects of conference development, preparation and delivery
    • Assists with all aspects of exchange programs preparation and delivery
    • Develops and summarizes evaluations and common measures reporting for National opportunities

Carries out other duties as determined from time to time by the Manager of Admissions

Qualifications:

  • Preferred degree/diploma in Event and/or Program Management
  • 3 to 5 years’ experience in administrative support and/or an event planning environment
  • Polished and professional, highly effective in time management with superior organizational, analytical and problem solving skills
  • Ability to work both independently and as part of a team in a fast-paced environment
  • Excellent communication and customer service skills
  • Preferred experience working in a youth serving organization and a strong desire to commit to our mission
  • Proven ability in working with a wide range of individuals, committees, organizations and youth
  • Software proficiency in Microsoft Outlook, Access, MS Word, MS Excel, MS Power Point, registration and survey software and database management
  • Bilingualism preferred
  • Ability to travel occasionally and be on-site for programming throughout the year
